01 / DECISION

Define the file state

Offline access helps a proposal team work during travel or service interruption, but it also leaves a usable local copy. Sync may propagate mistakes, while provider version history may not satisfy the team’s recovery objective.

Working rule

Distinguish Box synchronization, offline availability, version history and a separately tested backup before travel or deadline work.

02 / PROCEDURE

Run the control sequence

  1. 01

    Identify documents intentionally available offline.

  2. 02

Record the last successful synchronization before travel.

  3. 03

Back up the approved proposal state to a separate controlled location.

  4. 04

Open sample files from the backup without relying on Box Drive.

  5. 05

Reconcile offline edits and conflicts before publishing or sharing.

03 / EVIDENCE

Record the local and provider layers

A useful control record names the proposal, Box workspace, Windows device, local path, accountable owner, permitted users, offline state, link audience, backup evidence and next review date. Keep passwords and client-confidential details out of the record. Use fictional documents for testing and preserve an approved recovery copy before changing the only working folder.

Recheck the design after Box Drive, Windows, Cloud Secure, account, device, storage or network changes. Confirm both the local experience and the provider state: a successful local lock does not prove a link was revoked, while a correct Box permission does not remove downloaded or cached Windows copies. Escalate unexplained mismatches instead of overwriting evidence near a bid deadline.

04 / BOUNDARY

Keep the claim narrow

Synchronization is not backup; local restriction is not provider version history; an available offline file is not proof of a current approved proposal.

Test on the intended Windows account and exact local path, confirm the Box Drive client remains healthy, and verify the separate recovery copy without relying on the protected folder. Review collaborator and link state directly in Box. If the requirement includes centralized endpoint policy, device encryption, managed identities, legal hold or enterprise audit, use controls designed for those needs.

05 / QUESTIONS

Common questions

Does locking the local folder revoke a Box sharing link?

No. Manage links and collaborators in Box.

Does sync replace a separate backup?

No. Sync can propagate deletion or conflict; maintain and test a separate recovery copy.

Can a PC tool recover a stolen Box account?

No. Provider MFA, sessions and account recovery are separate controls.
